ATV Battery Shipping Document File

Evidence scope: This article does not replace hazmat advice. Requirements vary by chemistry and route. Confirm with the carrier.

Battery transport documentation depends on the battery chemistry, configuration, packing arrangement, transport mode, route, and carrier. A checklist helps organize the review; it does not determine the shipment's regulatory classification or guarantee carrier acceptance.

1. Battery Identity

  • Chemistry (lithium-ion / sealed lead-acid)
  • Voltage and capacity
  • Packed with machine or separately
  • Sea or air freight

2. Documents to Collect

Document Received? Date / version
Battery spec sheet
UN38.3 test summary
MSDS / SDS
Shipper declaration (if required)
Packaging test summary

3. Carrier Confirmation

  • Has the carrier approved the route?
  • Is the package marked correctly?
  • Are labels in place?

4. Route and Version Control

Record origin, destination, mode, carrier, battery state of charge if requested, package revision, document revision date, and the person who approved the booking. Lithium batteries may trigger different requirements depending on battery type, watt-hours, packing arrangement, and transport mode. Do not infer compliance from a generic SDS or from another model's UN38.3 summary.

How to Review the File

First identify the exact battery manufacturer and model, chemistry, nominal voltage, capacity, and watt-hour rating where applicable. Confirm whether the battery is installed in equipment, packed with equipment, or shipped by itself. Match the identifiers in the battery specification, test summary, product label, packaging description, and shipping documents. A document for a visually similar battery or a different revision is not a substitute.

For lithium batteries, request the applicable UN 38.3 test summary and verify that it identifies the battery type being shipped. The summary is evidence related to testing; it is not, by itself, a complete shipping authorization. An SDS/MSDS can provide hazard and handling information but does not replace classification, packaging, marking, labeling, or declaration requirements that may apply to a particular consignment. Sealed lead-acid batteries follow a different rule set; do not request lithium test paperwork as if it applied to every chemistry.

Booking Hold Point

Before booking, send the exact battery and package information to the carrier or qualified dangerous-goods professional for the planned route and mode. Ask for written confirmation of the applicable shipping description, packing instruction, marks and labels, state-of-charge limit if any, required declaration, and acceptance conditions. Save the reply with the shipment record. Reconfirm when the battery, package, route, carrier, or applicable rule changes.

Example of a File Mismatch

If the product specification lists one battery model but the UN 38.3 summary names another, stop and resolve the discrepancy before booking. Do not edit a document to make it appear to match. Request corrected manufacturer evidence or written direction from the responsible dangerous-goods adviser, then update the revision log.

EverJoy Project Boundary

EverJoy can assemble product-specific files that are available for the confirmed model and route. The shipper, carrier, and qualified dangerous-goods adviser must confirm classification, packing, marking, and declaration requirements before booking. This checklist is not a dangerous-goods approval.

Bottom Line

Collect the battery documents before booking freight. Confirm the route with the carrier.
